About the location:
Immerse yourself in the untamed wilderness with us as we visit some of the world's most renowned wildlife reserves, home to the Big Five: lions, leopards, buffalo, and rhinoceros. Our lodge is situated on a network of raised walkways and platforms adjacent to a watering hole where you may observe a herd of elephants stopping for a drink in the morning. Located in the vast plains of Central Serengeti, our lodge is a short 45-minute drive from the Seronera Airstrip, which is connected to three major airports in Tanzania. In December 2012, this stunning lodge became part of the Four Seasons Hotels and Resorts family. It features 77 rooms, including 12 suites and 5 villas, as well as 3 exquisite food and beverage venues, a Discovery Centre that provides an interactive experience to learn about the Serengeti's history, wildlife, and people, a Kijana Kids Club, a spa with 6 free-standing treatment pavilions that offer bespoke rituals and treatments that honour Africa's mystique and magic, a fitness centre, and a committed staff that will ensure that your wildlife safari dreams come true.
OVERVIEW:
Assist the Director of People and Culture with overseeing the People and Culture division's operations, including benefits administration, employee relations, staff recruitment and retention, communication with staff, staff career development, wage and hour compliance, training, workers' compensation, and legal matters pertaining to Lodge employees.
Primary Purposes:
Arrives punctually for each shift. Always know when they are scheduled to work and give the manager plenty of notice if they will be late.
Keeps a level head under pressure at all times. Follows all departmental policies and procedures, as well as the housing code and fire laws. Serve as a neutral third party in employee counselling, mediate conflicts, and inform the Director of People and Culture of any Lodge-related legal concerns.
Find out why employees are leaving in an unacceptable pattern, then figure out what to do about it.
Oversee the P&C budget's financial matters, such as payroll, benefits, and other related reports, and organise events in a way that stays under the budget.
Verify insurance policies, W-2s, sick days, and other employee documents on a regular basis.
Thoroughly document all relevant information in Workday and in paper files pertaining to employees, either directly or by delegating this task.
Adhere to and uphold the standards of conduct and work regulations outlined in the Four Seasons Employee Handbook, including those pertaining to Categories One and Two.
Maintain the privacy of people and culture while working in tandem with superiors and peers.
On behalf of People and Culture, oversee employee training and administration of programmes such as Embark, benefits, core values, and culture standards.
Coordinating interviews with other managers, conducting recruitment interviews, and using BBI to prepare offer letters to qualified individuals.
In charge of overseeing the hiring process and job boards
Assist the lodge with labour disputes and disciplinary hearings for employees.
It is your responsibility to make sure that you have the necessary work and residency permissions.
Keeping departmental job descriptions current and up to date.
Oversees, coordinates, and organises all staff appreciation programmes, including "EOM, MOQ, birthdays, honesty, anniversaries," and others.
Efficiently oversees, coordinates, and organises all staff communications, including the "Direct Line meeting for line & managers," updating employee notice boards, and Facebook (Jambo Serengeti).
The person in charge of coordinating the "New Babies, Sympathy, and Birthdays cupcake" employee gift program
Employees on sick, maternity, injury, or compassionate leave must be followed up with by PC to ensure status updates are sent.
Supervising the Accommodations for Employees – Conduct routine inspections of the lodging units. Make sure to organise the amenities and welcome messages, as well as check the rooms for new arrivals and employee visitors. Report any problems to Accommodation or Engineering.
Keep the cafeteria, recreation, cyber cafe (computers are operational), and gym safe, clean, and food-quality-approved; notify accommodation or engineering of any problems. Notification of food quality issues is necessary.
Make sure to coordinate meal delivery and check with the clinic regarding sick calls. Determine if an employee needs to visit the hospital. If the situation is critical, notify the P&C Director so they can decide what to do. In charge of overseeing and arranging SABA SABA lodging in Arusha for staff members staying there overnight on their journey to or from The Lodge.
Respond to and handle any medical emergency that may arise in the accommodations.
Ensures that all employee housing follows the most recent policies and procedures and oversees the Perfect Room initiative.
Keep an eye on the Direct Line, Safety, P&C Departmental, and Boo meetings.
Pay attention to the Direct Line meetings' requests and the Safety Meeting's safety concerns.
Perform additional tasks as directed by the People and Culture Director.
NON-ESSENTIAL FUNCTIONS:
Party planning, general gatherings, employee relations activities, and any other employee recreation programmes are all under your supervision.
Address and appear at any hearings pertaining to any claim an employee may have against the Lodge, whether it be a wage and hour case, an unemployment claim, a workers' compensation claim, or a claim filed with the Department of Labour.
Participate actively in all Lodge Committees (Safety, Green, Cafeteria, etc.).
Maintain a clean and organised atmosphere in the personnel entrance, the cafeteria, and the accommodation spaces.
Carry out any additional responsibilities given by upper management.
Moving to the Arusha logistics office temporarily might be necessary to lend a hand.
KNOWLEDGE AND SKILLS:
Requirements: A bachelor's degree in human resource management or a closely related discipline
Working two to four years in a similar role for Four Seasons or an equivalent organisation is essential for this position.
Abilities and Skills: Must have a basic understanding of labour rules.
Acquiring practical knowledge is typically achieved through on-the-job training or by passing a series of certification exams.
Must be proficient in using various types of computer hardware and software.
Proficiency in reading, writing, and speaking English.
