Who are we?
All marginalised women in Tanzania can access fistula treatment and appropriate maternity care through Maternity Africa, a Christian-based non-profit. We accomplish this by providing exceptional clinical care and by setting a positive example of loving-kindness-compassionate behaviour that does not discriminate based on race, religion, or ethnicity. The Kivulini Maternity Centre is the home base for Maternity Africa, which is located just outside of Arusha in northern Tanzania.
About the role.
Gives workers the all-around help they need to keep the day-to-day HR operations and paperwork moving smoothly. Making HR operations and duties more consistent, efficient, and effective.
Role Responsibilities:
- Carry out routine administrative and operational duties within the Human Resources department.
Supervision of tasks and operations within the HR divisions.
Verify the references of all new staff and volunteers.
Upon staff appointment, prepare employment contracts and keep an effective contract planning process. Staff should be issued probation confirmations when they are due, and, after consulting with the employee's line manager, their probation period should be extended if necessary.
Employees should be required to complete exit interviews. Verify the accuracy and prompt payment of all outstanding staff dues as soon as feasible.
Help with employee satisfaction surveys that cover a range of topics related to work.
Return and document all Kivulini resources, including keys and uniforms, that have been assigned to the employee.
Verify with each new hire that their orientation has taken place and that any necessary paperwork has been saved in their file.
Get the right visas and work permits for international volunteers and employees and make sure they're up-to-date.
Make sure all of your files (personnel, recruitment, etc.) are current so that information can be quickly retrieved, referenced, and reported.
Make sure that the leave database is updated regularly and that personnel receive monthly status updates via payroll and finance. Monitor the advancement of staff leaves.
Keep line managers updated on when staff contracts are up for renewal or expiration, and send out renewal reminders or new contracts when needed.
Maintain an accurate and up-to-date HR database system through regular maintenance and proper usage. This involves creating new employees, deleting old ones, changing contact information, entering performance reviews, training details, and staff absences, as well as revising personal details and contract information.
Always keep all records securely stored and treat all staff records with the utmost confidentiality, regardless of whether they are kept on paper or in a computer system.
Maintain communication between the HR database training and the IT department in order to receive technical help and upgrades.
Collect attendance data, analyse it, and report any discrepancies or patterns to the appropriate line managers.
Make sure that all of the organisation's monthly rosters are up-to-date and comply with all applicable employment and work regulations.
Improve administrative and HR procedures, tactics, and ideas in a collaborative effort with the HR manager using creative, inventive, effective, and efficient methods.
Qualifications and certifications, experience and skills required.
- An associate's degree is required in public administration or human resource management.
Superior abilities in connecting with others and conveying ideas.
Good organisational abilities and a proactive mindset.
Familiarity with employment regulations and policies in Tanzania.
