Role Overview
Ifakara Health Institute is looking for a reliable and experienced Office Assistant. This role involves ensuring the office runs smoothly and providing excellent support to staff and visitors. You’ll handle administrative tasks, manage supplies, and ensure a welcoming environment. Basic computer skills are essential for managing schedules, sending emails, and setting up virtual meetings.
Responsibilities
- Greet visitors and direct them appropriately.
- Keep the office clean, organized, and stocked with necessary supplies (e.g., water, tea, cleaning materials).
- Deliver and distribute documents or parcels within the office and to other locations.
- Set up the conference room for meetings and provide requested supplies.
- Monitor office supply inventory and coordinate replenishments.
- Answer and transfer phone calls, and run errands when needed.
- Assist with making copies, scanning, and filing documents.
- Support staff during meetings by distributing materials and recording documents.
- Report any office equipment issues for repair.
- Perform other administrative tasks as needed.
Qualifications and Experience
- Minimum Form IV/VI education with a certificate or diploma in Office Administration or a related field.
- 1–2 years of experience in office assistance.
- Knowledge of data entry and record management.
- Familiarity with basic office software (e.g., email, scheduling tools).
- Fluent in Kiswahili and English (French or Portuguese is a bonus).
