Job Overview:

Mwananchi Communications Limited (MCL) is part of the Nation Media Group (NMG) and is the largest independent news network in Tanzania. We publish top national news brands like Mwananchi, The Citizen, and Mwanaspoti in both print and digital formats. We are also the creators of the Mwananchi Digital products and Nation ePaper eGazeti platforms. Our goal is to empower Tanzania by being audience-led and market-driven.

We are looking for an Executive Assistant to join our team. This role is key to ensuring the smooth running of the MD’s office, managing daily operations, scheduling, travel arrangements, and coordinating communication with various stakeholders.

Responsibilities:

Board Meetings:

  • Streamline operations to support top executives and ensure things run smoothly.
  • Prepare board packs for meetings.
  • Arrange accommodations and airport transfers for board members.
  • Ensure all resources are available during board meetings.

Scheduling and Coordination:

  • Manage the MD’s schedule, handling both personal and professional agendas, emails, phone calls, and transportation needs.
  • Coordinate travel logistics for senior executives, including accommodations and meals.

Corporate Social Responsibility (CSR):

  • Work with the Head of Marketing and Corporate Affairs to develop activities that enhance MCL’s image in Health, Education, and Environment.
  • Support CSR efforts that contribute to sustainability.

Customer Care:

  • Oversee the front desk operations and provide excellent customer service for board members, staff, clients, and visitors.
  • Organize company-wide events, conferences, and workshops, ensuring smooth coordination either internally, virtually, or off-site.
  • Maintain professionalism in dress code and punctuality, ensuring the front desk staff provide a courteous experience to guests.
  • Monthly reporting on front office activities.
  • Maintain a welcoming atmosphere at all times in the reception area.

Engagement Management:

  • Manage MD’s visitors, ensuring each guest has an excellent experience with MCL.
  • Facilitate communications and project deliveries between internal and external stakeholders, including employees and department heads.

General Administration:

  • Provide admin support, such as typing, data entry, spreadsheet creation, and maintaining a filing system and contact database.
  • Manage incoming calls and assist in reports, letters, boardroom access, and other admin tasks.

Minimum Qualifications and Experience:

  • Education: A basic university degree.
  • Experience: At least 3 years in a similar role.
  • Skills: Strong secretarial and customer care skills.
