Administrator Job Description

The Administrator plays a key role in ensuring the organization runs smoothly. You’ll assist various departments, support employees, and help the company maintain efficient daily operations.


Duties and Responsibilities

  • Manage and monitor daily office activities.
  • Handle bookkeeping, record-keeping, and data entry for financial, personnel, and legal records.
  • Manage correspondence, schedule appointments, and maintain calendars.
  • Oversee personnel matters like attendance, leave, visas, and licenses.
  • Assist in recruiting and training General Service staff and assigning roles as needed.
  • Support financial tasks, including budgeting, invoicing, and expense tracking.
  • Serve as the first point of contact for clients and customers, addressing inquiries and concerns.
  • Coordinate staff training and development programs.
  • Prepare reports, correspondence, and evaluations on administrative matters.
  • Organize office events and meetings.
  • Manage office inventory and ensure supplies are stocked.
  • Perform any additional duties as required.

Qualifications and Skills

  • Education: Bachelor’s degree in Business Administration, Human Resource Management, or a related field.
  • Experience: At least 8 years in administration roles.
  • Technical Skills: Proficiency in Microsoft Office (Excel, Word, PowerPoint) and familiarity with accounting software.
  • Knowledge: Strong understanding of Tanzanian labor laws and regulations.
  • Soft Skills: Excellent communication, interpersonal, and leadership skills.
  • Languages: Fluency in both English and Swahili is a must.
