Job Summary
As the Administrative Officer, you'll play a key role in delivering efficient, effective support to advance CRS’s mission of assisting the poor and vulnerable. You'll help manage resources responsibly and ensure our administrative systems meet high standards of quality and compliance.
Roles and Responsibilities
- Coordinate & Report: Manage activities and resources to provide reliable, cost-effective administrative support.
- Transaction Processing: Help coordinate office requisitions and inventory.
- Inventory Management: Assist with inventory processes, including receiving, labeling, and tracking items. Perform internal transfers within Insight.
- Policy Compliance: Ensure systems and policies comply with agency and donor requirements, as well as local laws.
- Stakeholder Engagement: Communicate with external stakeholders like government officials, landlords, and service providers for any assigned tasks.
- Safety Management: Help identify and address safety issues to maintain a safe work environment.
- Logistics Coordination: Plan monthly logistics for trips.
- Delivery Operations: Support the supply chain process from procurement to final distribution in line with CRS and donor standards.
- Travel & Event Support: Organize travel and logistics for staff and visitors; manage event planning.
- Document Management: Maintain all necessary logistics files and supply chain documents.
- Vehicle Oversight: Regularly check licenses and insurance, and alert your supervisor for renewals.
- Other Duties: Perform any additional tasks as assigned by your supervisor.
Qualifications
- Education: Bachelor’s degree in business administration or a related field is preferred.
- Experience: At least 2 years in administrative support, ideally within an NGO environment.
- Languages: Proficiency in English and Swahili.
