As a Procurement and Logistics Assistant, you’ll play a key role in supporting the USAID Lishe (Nutrition) project. Your Responsibilities

Procurement Duties:

  • Inventory Management: You’ll need to make sure all project property is logged into the inventory tracker as soon as it’s acquired. Keeping it updated is key for accurate accounting of all project items, their values, and where they are located.
  • Gathering Quotes: You’ll assist the Office Manager by collecting quotes and conducting market research to help with project procurements, ensuring that all relevant USAID and Chemonics policies are followed.
  • Drafting Documents: You’ll help draft requests for quotations (RFQs), requests for proposals (RFPs), blanket purchase agreements (BPAs), and purchase orders. This is where your organizational skills will shine!
  • Tracking Agreements: You’ll keep an eye on the performance periods for service agreements and related operations agreements, making sure everything is on track.

Logistics Responsibilities:

  • Travel Arrangements: Booking hotel stays for regional staff during their trips and for those based in Dar es Salaam visiting the region will be part of your role.
  • Invoice Review: You’ll check hotel invoices for the hotels we partner with to ensure everything adds up.
  • Air Travel Coordination: Helping the Administrative Assistant book air tickets for regional staff and reviewing the related invoices will also be on your plate.
  • Road Travel Coordination: You’ll coordinate road travel for staff in the region, assigning project drivers and ensuring they check in when they arrive at their destinations.
  • Vehicle Maintenance Oversight: Reviewing fuel card top-up reconciliations for accuracy is essential, as well as making sure project vehicles are used only for work-related tasks.
  • Office Administration Support: You’ll work with the Regional Administrative Assistant to handle office administration matters like security oversight, access procedures, and maintenance of office equipment like generators.
  • Communication: You’ll need to produce work that aligns with the standards of Chemonics, the project, and USAID. Clear communication is crucial here, demonstrating your understanding of development assistance and Chemonics’ culture and values.
