Administrator Officer (1 Post) – Dar

Location: Dar es Salaam
Reports to: Project Manager


Position Summary

Ifakara Health Institute (IHI) is on the lookout for an Administrator Officer. In this role, you’ll support the Malaria Atlas Project (MAP) East Africa Node. You’ll help manage daily operations, making sure everything runs smoothly.


Duties and Responsibilities

  • Work closely with the Project Manager (PM) to support project activities, manage admin tasks, and help staff with various needs. This might include keeping the office organized, scheduling appointments, ordering supplies, organizing meetings, and taking notes during meetings.
  • Collaborate with the Principal Investigator (PI) and PM on hiring project staff and securing any services needed for the project.
  • Help track project deliverables and performance indicators, update milestones, document lessons learned, spot risks, and suggest solutions.
  • Assist the PM in monitoring staff attendance, confirm leave requests before they’re approved, and coordinate annual staff performance reviews.
  • Show good decision-making skills in all job aspects.
  • Keep everyone updated on compliance with institutional and safety regulations, helping to solve any project-related issues.
  • Interact politely with other staff while answering questions or providing information.
  • Support the finance team in managing project expenses effectively.
  • Take on any other tasks assigned by the project management team.

Qualifications and Experience

Essential:

  • A Bachelor’s degree in a relevant field with at least 2 years of experience as an office administrator.
  • Collaborative mindset and customer service skills.
  • Ability to multitask, plan, and prioritize tasks with minimal supervision.

Desirable:

  • Knowledge of other languages like Swahili, French, Spanish, or Portuguese.
  • Proficiency in French is preferred and considered a plus for this position.

Skills and Competencies

  • Good written and verbal communication skills.
  • Strong decision-making, problem-solving, and organizing skills.
