About the Position

Position: Administrative Assistant
Location: Dar es Salaam, Tanzania

In this role, you’ll be a vital part of our embassy, providing essential administrative support to keep everything running smoothly. You’ll work alongside our dedicated team and help us maintain a professional and welcoming environment.

What You’ll Do

As an Administrative Assistant, your day-to-day tasks will include:

  • Providing Administrative Support: You’ll assist embassy staff with various administrative tasks to ensure smooth office operations.
  • Organizing Files and Records: You’ll be responsible for keeping our files in order—both electronic and physical—so that everyone can find what they need when they need it.
  • Preparing Reports and Presentations: Help with creating important documents like reports and presentations to keep everyone informed.
  • Liaising with Government Offices: You’ll be the friendly face that interacts with government offices, authorities, and organizations on behalf of the embassy.
  • Managing Correspondence: This includes handling emails, phone calls, letters, and faxes. You’ll ensure that all communication is clear and professional.
  • Scheduling Meetings and Travel: You’ll coordinate meetings, appointments, and travel arrangements for embassy staff, helping to keep their schedules organized.
  • Handling Sensitive Information: With integrity and discretion, you’ll manage official and personal information to protect the embassy’s reputation and promote a positive work environment.
  • Other Duties as Assigned: There may be additional tasks that pop up from time to time, and your flexibility will be key!

What We’re Looking For

Education and Training

  • Degree Requirement: A bachelor’s degree in Business Administration, International Relations, or a related field is needed.

Work Experience

  • Experience: We’re looking for someone with at least one year of experience in an administrative role, ideally in an international or diplomatic setting. Familiarity with government organizations or diplomatic missions is a plus.

Attributes

To thrive in this role, you should have:

  • Communication Skills: Excellent written and verbal skills in English and Swahili are essential. If you know Korean, that’s a big bonus!
  • Organizational Skills: You should be detail-oriented and able to keep things organized.
  • Tech Savvy: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is a must.
  • Independence and Teamwork: You should be comfortable working alone or as part of a team.
  • Interpersonal Skills: You’ll need strong people skills to work well with a diverse group.
  • Knowledge of Embassy Protocols: Understanding embassy procedures and protocols is a nice addition to your skills.
